How do I post, view, or open Store Payroll?

This article guides store managers on posting, viewing, and opening store payroll on Decision Logic’s platform.

Overview

Decision Logic’s payroll feature is a bridge between 3rd party payroll integrations and your POS.  It supports stores by providing visibility and accountability of all labor hours and ensuring all employee information is entered in Decision Logic.

Payroll is posted for all active employees in the Employee Roster with assigned job codes and POS IDs.

If overtime or double-time labor rules are set up for stores, users may observe employees listed with overtime (OT Hrs.) or double-time (DT Hrs.) on the Store Payroll and Payroll Report when these rules are applicable. Standard overtime rules respect the federal rule that hours worked over 40 hours in a workweek will appear as overtime

If your state has special overtime (OT) or double-time (DT) rules, please contact your Account Manager.

 

All users must have the following permissions:

  • Store Payroll - ‘Change’

 

When labor data is missing, users will need to clear and re-run labor data from the End of Day page.

Payroll must be opened or not yet posted before users can clear and re-run labor in the End of Day.

Post Payroll

Store managers will post payroll by navigating to:


Operations > Payroll > Store Payroll

 

  1. Select the Company, Region, Area, or Store.

  2. Click View X Store.

  3. Select a Date Range for the payroll week.

    1. The green dot under a date represents a payroll cycle.

    2. Users can select only one cycle at a time.

    3. Period Start is the beginning of that store’s period.

  4. Click Apply.

  5. Verify the Payroll Totals and Labor Hours match your POS.

    1. If the POS and Decision Logic do not match, either update End of Day or run Universal Data Transfer (UDT).  The update method is dependent on the store’s POS.

    2. If you see payroll alerts, follow these steps.

    3. Distribute tips if needed.

    4. Some employees may have overtime or double-time hours listed if configured and respected.

       

    5. Example of overtime and double-time for an individual employee:

  6. Review the Minimum Wage Adjustment column.

    1. If an entry appears, the employee’s wage does not meet the minimum wage for their job code and clocked in/out hours.  The brand establishes the minimum wage limit.  Stores will need to make wage adjustments outside of Decision Logic’s platform.

  7. Click Post.

 

 

View Payroll

Users can view a posted or not yet posted payroll. Begin by navigating to:


Operations > Payroll > Store Payroll

 

  1. Select the Company, Region, Area, or Store.

  2. Click View X Store.

  3. Select a Date Range for the payroll week.

    1. The green dot under a date represents a payroll cycle.

    2. Users can select only one cycle at a time.

    3. Period Start is the beginning of that store’s period.

  4. Click Apply.

Payroll Report

Additionally, users with administrative permissions can view the payroll report and summary by navigating to:


Administration > Payroll > Payroll Report

 

  1. Select the Company, Region, Area, or Store.

  2. Click View X Store.

  3. Select a Date Range for the payroll week(s).

    1. The green dot under a date represents a payroll cycle.

    2. Enforce Cycle is toggled on by default. This will force date selections by the calendar’s payroll cycle.  The dot under a date represents the beginning of that payroll cycle.

    3. Un-toggling Enforce Cycle allows users to select a date range outside of the payroll cycle.

    4. Period Start is the beginning of that store’s period.

  4. Click Apply.

    1. Results show the store(s) summary, such as store name, job code, totals for labor hours and wages, and more.

       

    2. Example of overtime and double-time hours:

  5. Click Show Employees to expand employee details.

 

Showing employees includes individual summaries and details for each employee.

 

 

Open Payroll

Follow the steps below to Open Payroll:


Operations > Payroll > Store Payroll

  1. Select a Company, Region, Area, or Store.

  2. Click View X Store.

  3. Choose a payroll Date Range and Apply.

  4. Click Open.
