How do I enter and distribute shared tips?

This article guides managers on distributing non-cash tips shared through the Tip Share page on Decision Logic’s platform.

Overview

Decision Logic allows brands, concepts, or franchisees to determine their tip categories and which categories they want to affect Accountability on the End of Day report. Each tip category can be leveraged differently.

Clients who have tip share categories configured can distribute non-cash and cash tips on the Tip Share page or Store Payroll page. Clients who do not have tip share categories configured can distribute tips manually on the Tip Share page.

Managers will enter cash tips on the End of Day page as a paid-in for each day tips are collected.

 

If your POS is configured to send cash tips to Decision Logic’s platform, you do not need to enter cash tips on the End of Day page manually.

 

Decision Logic allocates tips into four categories. Categories can be configured down to the store level. Each brand or store determines which category tips fall into.

  • Cash Tips (Paid Ins)

  • Credit Card (Receipt Tips)

  • Catering (Receipt Tips)

  • Delivery (Gift Card)

 

Each store is configured for their preferred “distribution interval.” Shared tips are distributed to employees based on the percentage of all hours they’ve worked in the interval. The available intervals are:

  • Daily: Tips are distributed per day.

  • Labor Week: Tips are distributed over the 7-day Labor Week.

  • Payroll Cycle: Tips are distributed over the entire Payroll Cycle.

 

The default interval is Daily. Brands will determine which interval a store has.

 

Tips must be entered before posting payroll. If tips need to be reallocated after posting payroll, users need to open the payroll week, update the Tip Share page or Store Payroll page for re-distribution, and repost payroll. This should only be done if payroll has not yet been processed.

 

Accountable Tips are monies that the brand distributes on an employee’s paycheck and are not given to the employee on the same day of business.

 

Please check with your brand, concept, or franchisee on which tip categories should impact Accountability.

 

Enter Cash Tips

Users will enter cash tips as a Paid In on the End of Day page. Begin by navigating to:

Operations > End of Day > End of Day

 

  1. Select a Store.

  2. Select a Date.

  3. Click Next.

     

  4. Navigate to the Paid Ins section.

     

  5. Select the Paid Ins Account that is related to cash tips.

    1. The name of the category is client-specific. An example is Tips or Cash Tips. Please check with your brand on which account of Paid Ins captures cash tips.

       

  6. Enter a Reason for the Paid In, such as Cash Tips.

     

  7. Enter the Cash Tip Amount collected.

  8. Click Add Entry.

     

The cash tips will appear as a Paid In on the Accountability and Cash O/S (over / short) metrics. Users can adjust the Paid In or remove it.

Users will either navigate to the Tip Share page to manually distribute all tips or allocate tips using the calculate feature on Tip Share or Store Payroll.

 

Remove Cash Tips

Users can remove cash out of the tipping pool as a Paid Out on the End of Day page. For example, if the delivery fee is paid to an employee and should not be part of the tip pool, then the manager can pull the cash tip out of their cash register or safe.

Begin by navigating to:

Operations > End of Day > End of Day

 

  1. Select a Store.

  2. Select a Date.

  3. Click Next.

  4. Navigate to the Paid Outs section.

  5. Select the Paid Outs Account that is related to cash tips.

    1. The name of the category is client-specific. An example is Tips or Cash Tips. Please check with your brand which account of Paid Outs captures cash tips.

  6. Enter a Reason for the Paid out, such as Cash Tips.

  7. Enter the Cash Tip Amount collected.

  8. Click Add Entry.

 

Users can adjust the Paid Out or remove it.

Enter Non-Configured Tip Share

Clients who do not have tip categories configured will manually enter and distribute shared tips across employees. Cash tips are entered on the End of Day page as a Paid In and will appear on the Tip Share page.

Begin by navigating to:

Operations > Payroll > Tip Share

 

  1. Select a Store.

  2. Select a Date or Date Range depending on your brand sets the tip share interval.

  3. Click Apply.

    1. Users can filter Job Codes by clicking All Tipped Job Codes and selecting from the dropdown.

  4. Manually enter tips To Be Paid.

  5. Click Save.

     

Clicking “Reset” will reset the amount distributed to the most recent save.

If adjustments to Tip Share need to be edited after payroll has been posted, the payroll will need to be open. Users will update the tip share, save, and repost payroll.

Enter Configured Tip Share

Clients who have tip share categories configured will see a breakdown of where tips are allocated and the dollar amount of tips that need to be distributed. Cash tips are entered on the End of Day page as a Paid In and will appear on the Tip Share page. Users can distribute tips from the Tip Share or Store Payroll pages.

Tip Share Page

Begin by navigating to:

Operations > Payroll > Tip Share

 

  1. Select a Store.

  2. Select a Date or Date Range depending on your brand sets the tip share interval.

  3. Click Apply.

    1. Users can filter Job Codes by clicking All Tipped Job Codes and selecting from the dropdown.

  4. Click Calculate Tips.

    1. Calculate Tips allocates tips based on the percentage of the total hours worked in the interval.

    2. Users must have the tip pool configured, “Enter” or “Change” permissions, or unposted payroll to see the Calculate Tips button.

  5. Click Save.

     

Distributed tips are rounded up to the penny, so the amount of tips distributed may be slightly greater than the pool.

Clicking “Reset” will reset the amount distributed to the most recent save.

If adjustments to Tip Share need to be edited after payroll has been posted, the payroll will need to be open. Users will update the tip share, save, and repost payroll.

 

 

Store Payroll Page

“Change” permissions for the Tip Share page allows users to edit distributed tip amounts through Tip Share or Store Payroll. In addition, the Store Payroll page will show a “Calculate and Save Tips” button, which calculates any minimum wage adjustment to bring the average wage plus tips up to the federal minimum wage when necessary.

 

Begin by navigating to:

Operations > Payroll > Store Payroll

 

  1. Select the Company, Region, Area, or Store.

  2. Select a Date Range.

    1. The green dot below a number represents the beginning of the payroll cycle.

  3. Click Apply.

     

  4. Click Calculate and Save Tips to distribute tips.

    1. A message will appear if a user has distributed tips on the Tip Share page and then distributes tips again on the Store Payroll page.

    2. Click Confirm to redistribute tips if applicable.

  5. Click Post to post the store’s payroll.

    1. Be sure clear any payroll alerts before posting payroll.

       

 

 

 

 

Reporting

Tips entered and allocated appear on the End of Day and Daily Sales reports (DSR).

End of Day

Users will view the End of Day report by navigating to:

Operations > End of Day > End of Day

 

  1. Select a Store.

  2. Choose a Date.

  3. Click Next.

 

Cash tips appear on the End of Day report within Paid Ins.

 

 

Credit card tips and Catering tips appear on the End of Day report within Receipts and are categorized by Receipt Type and Tip.

 

Delivery fees appear on the End of Day report within Gift Cards.

 

Daily Sales Report (DSR)

Users will view the Daily Sales Report (DSR) by navigating to:

 

Operations > End of Day > DSR

 

  1. Select the Company, Region, Group, and Store.

  2. Select the Date Range.

    1. The green dot beneath the date represents the fiscal cycle. Users can toggle Enforce Cycles to select a different date or date range.

  3. Select Stores Only.

    1. Users can check the Totals Only box to see a summary rather than a breakdown.

  4. Click Apply.

 

If a tip category is configured to be included in the Accountability Formula, in DSR, it lives within Tips, except Cash Tips. Cash Tips live within Paid Ins.

 

 

Accountability Formula

The Accountability formula displayed on the End of Day report is determined by how your brand, concept, or franchisee categorizes tips and which category affects Accountability.

 

 

Tips affecting Accountability will have an additional breakout in the formula: Accountable Tips.
