How do I approve or deny a Shift Swap on the Digital Manager mobile app?

This article shows managers how to approve or deny an employee’s request to swap shifts with the Digital Manager mobile app.

Overview

The Digital Manager app allows store-level users to approve or deny shift swap requests inside the app.  Managers can take action from inside the shift card or through the menu features.  Approving or denying a shift swap will immediately post if there is a change to the schedule.  Additionally, employees will receive a push notification if they have an active Employee Central app account.

 

There are two routes a manager can take to approve (assign) or deny a shift request:

  • Shift Card

  • Menu features

 

Approve / Assign Shift

Managers can approve, or assign, shift request through the Shift Card or Menu feature. Approval or a denied request occurs at the single-store view when logged into the Digital Manager app.

Shift Card

Users will open and log into the Digital Manager mobile app.  Once logged in:

 

  1. Tap on the Shift Card (People) icon.

  2. Navigate to the Date and Day Part where an action needs to occur.

    1. A blue dot indicates that an action needs to occur.

  3. Tap on the Shift in the Role Breakdown with a blue dot.

  4. Tap on the Shift again.

    1. The Shift will have a blue dot next to it.

    2. A house icon indicates that it is a house shift.

    3. A double-arrow indicates that the shift request is a shift swap and not a house shift pick up.

  5. Tap the Accepted tab.

    1. The Accepted tab should be the default landing page.

    2. Managers can also tap the Pending tab to choose a different employee to assign the shift to.

  6. Tap Assign.

  7. Tap Confirm.

 

The employee who has been assigned (approved) for the shift pick up, and the employee who has released their shift with a successful pick up will receive a push notification.  Both the employee picking up the shift and releasing the shift will have their schedules automatically updated.  If the employee is picking up a House shift then only the assigned employee will receive a push notification.

Employees who did not get assigned to the shift will not receive a push notification.

 

Menu Route

 

Users can access pending shift swaps requests in the Menu feature of the Digital Manager app.  Users will open and log into the Digital Manager mobile app.  Once logged in:

 

  1. Tap Menu.

  2. Tap Shift Swap.

    1. Pending requests is the default landing page.

  3. Tap the Shift with the Blue Dot.

    1. A blue dot indicates that an action needs to occur.

    2. A House Icon indicates the shift is a House Shift.

  4. Tap the Accepted tab.

    1. The Accepted tab should be the default landing page.

    2. Managers can also tap the Pending tab to choose a different employee to assign the shift to.

  5. Tap Assign.

  6. Tap Confirm.

 

 

Deny Shift Swap

A manager may choose to deny an employee’s request to give up their shift.  When this happens, the manager will provide a reason, and the employee will be notified through a push notification.  Additionally, the denial and reason will appear on the employee’s Activity History in the Employee Central mobile app.

Managers can deny a request from inside the Shift Card or through the Menu feature.

 

Shift Card

Users will open and log into the Digital Manager mobile app.  Once logged in:

 

  1. Tap the Shift Card (People) icon.

  2. Navigate to the Date and Day Part where an action needs to occur.

  3. Tap on the Shift with a blue dot or double-arrow.

    1. A blue dot indicates that an action needs to occur.

    2. A double-arrow indicates that the shift request is a shift swap and not a house shift pick up.

  4. Tap View Shift Swap Request.

    1. Tapping Unassign Shift will release the employee’s shift as a House Shift.

  5. Tap Deny Shift Swap.

    1. This prevents the employee from giving up their shift and also prevents other employees from accepting the shift.

  6. Enter a Reason for denying the shift swap.

  7. Tap Deny.

 

The employee will receive a push notification of the denied shift swap.  The detailed information will live in the employee’s Activity History in the Employee Central mobile app.

 

 

Menu Route

Users will open and log into the Digital Manager mobile app.  Once logged in:

 

  1. Tap Menu.

  2. Tap Shift Swap.

    1. Pending requests is the default landing page.

  3. Tap the Shift.

    1. A blue dot indicates that an action needs to occur.

    2. Users can tap on any shift that is Pending including those without a blue dot indicator.

    3. A House Icon indicates the shift is a House Shift.

  4. Tap Deny Shift Swap.

    1. This prevents the employee from giving up their shift and also prevents other employees from accepting the shift.

  5. Enter a Reason for denying the shift swap.

  6. Tap Deny.

 

The employee will receive a push notification of the denied shift swap.  The detailed information will live in the employee’s Activity History in the Employee Central mobile app.
