How do I upload, view, or export Scanned Invoices?
This article shows users how to upload their scanned invoices for viewing and export invoice history with images into a zip file.
Overview
Decision Logic allows users to upload their scanned or electronic invoices into the Invoice History. Users can also download invoices with images or export an invoice date range with images into a zip file and email. This feature allows users to send invoice histories electronically rather than shipping manually. Additionally, users can view the uploaded documentation or make edits.
Decision Logic does not integrate with scanning devices. Therefore, the user must save the image to their computer before uploading it to Decision Logic’s platform.
We support the following files as an upload and download:
pdf
bmp
gif
jpg
png
tiff
Upload Scanned Invoice
Begin by navigating to:
Operations > Purchases > Invoice History
Select the Company, Region, Group, and Store.
Select the Start and End Date Range.
Select Inv Date or Entered.
Click Go.
Select the Scan type of Missing Scan to see which invoices do not have a document attached.
Click the Scanner Icon on the Invoice Line you want to upload your document.
This icon indicates a document has not been uploaded.
Click Choose File.
Select the Invoice File / Document from your computer.
Click Upload.
Once a document is uploaded, the Scanner Icon switches to a Document Icon. This indicates a document is associated with that invoice line. User can view the document by clicking the Document Icon.
Add Multiple Documents
Users can also add multiple documents to a single Invoice History line.
Click on the Document icon on the Invoice History line.
The Document icon indicates that at least one document has been uploaded for that Invoice History line.
Click Add File.
Click Choose File.
Select the Invoice File / Document from your computer.
Click Upload.
The additional document will appear at the top of the list.
Delete An Uploaded Invoice Document
Begin by navigating to:
Operations > Purchases > Invoice History
Select the Company, Region, Group, and Store.
Select the Start and End Date Range.
Select Inv Date or Entered.
Click Go.
Select the Scan type of Scan Uploaded to view which invoices have an attached document.
Click on the Document icon on the Invoice History line.
The Document icon indicates that at least one document has been uploaded for that Invoice History line.
Click on the Document you want to delete.
Click Delete.
Click OK.
View Uploaded Invoice Document
Begin by navigating to:
Operations > Purchases > Invoice History
Select the Company, Region, Group, and Store.
Select the Start and End Date Range.
Select Inv Date or Entered.
Click Go.
Select the Scan type.
Click on the Document Icon next to the Invoice Line you want to view.
This indicates a document is associated with that invoice line.
Users can click Download to download the individual document associated with the Invoice Line.
Example
Export Invoices & Scanned Images
Decision Logic allows users to export a select date range of invoices with images as a zip file to be shared. Begin by navigating to:
Exports > Accounting > PPC Invoices
Select the Company, Region, Group, and Store.
Check the following Boxes (4) located at the top of the parameter’s box.
Include Headers
Include Scans (this is import to allow scanned invoices to export).
Do Not Mark as Exported
Ignore Status
Select the Vendor from the vendor drop-down.
Check the Export Specific Dates box.
Click the Date Entered or Date of Invoice option.
Select the Start and End Date(s).
Click Export. The zip file will automatically download to your computer.
Pay close attention to the selection of Date Entered versus Date of Invoice to yield the correct results.
