How do I add or manage Labor Templates (Maintenance) for the Labor Scheduler?

This article shows users how to upload templates that will reflect on the Labor Scheduler to use.

Overview

Labor Templates are standardized spreadsheet formats designed to accommodate different types of labor matrix data, such as weekly, daily, hourly, or half-hourly, to aid labor scheduling. These templates enable managers to input and track labor costs and hours more effectively.

Depending on your chosen template, they contain time periods with minimum and maximum sales amounts and the number of hours assigned to those sales ranges. Stores are assigned to the templates, and the Labor Scheduler is populated using the template data.

The available labor templates are:

  • Half Hour

  • Half Hour by Day

  • Hourly

  • Daily

  • Weekly

Stores can be added to different labor template types, but cannot be added to the same labor template type more than once. The store must be assigned to a Labor Template to enable Targeted Hours to report on the Labor Scheduler. If the template that a store is assigned to is deleted, then the location will lose Targeted Labor Hour reporting until they are assigned to a new Labor Template. 

 

Downloading the Labor Template

When using Labor Templates, users will need to download a template to work with.

Navigate to Maintenance > Labor > Labor Templates

 

  1. Click the Labor Templates tab. This should be the default landing page.

  2. Select a Template to automatically download as a sample template. Template options are:

    1. Half Hour

    2. Half Hour by Day

    3. Hourly

    4. Daily

    5. Weekly

The selected template will have separate instructions for the user to follow.

Example Daily Template

 

Filling Out A Template

Users will need to open the downloaded file from the selected template. Users can enter as many ranges of time needed. Cells in the spreadsheet are pre-formatted. Below are a few examples on how to read and complete the labor template before uploading in Decision Logic.

 

Half-Hour

For the Half Hour template, enter data in the following columns:

  • Start Half-Hour

  • End Half-Hour

  • Min $ Amount

  • Max $ Amount

  • Labor Hours

 

If you need more than 150 rows of cells, please copy and paste from pre-formatted rows of cells.

For each line entry, you will want to use the Min $ amount that matches the previous Max $ Amount. 

 

For example:

  • If line 2 is: Min $ Amount $1000 - Max $ Amount $1500  

  • Then line 3 will be entered as Min $ Amount $1500 - Max $ Amount $2000

You will not want to have line two entered as Min $ Amount $1501 - Max $ Amount $2000.

 

 

Daily

The Daily labor template allows users to schedule employees at the daily level down to the hour inside the Labor Scheduler. Below is an example of the Daily view in the Labor Scheduler when this template is uploaded.

 

For the Daily template, enter data in the following columns:

  • Day

  • Min $ Amount

  • Max $ Amount

  • Labor Hours

If you need more than 80 rows of cells, please copy and paste from pre-formatted rows of cells.

 

 

Weekly

For the Weekly template, enter data in the following columns:

  • Min $ Amount

  • Max $ Amount

  • Labor Hours

 

 

Upload A Template

Users will need to download and fill out a labor template before uploaded the updated template into Decision Logic. Below are the steps on how to upload a completed labor template.

Navigate to Maintenance > Labor > Labor Templates

 

  1. Click the Labor Templates tab. This should be the default landing page.

     

  2. Click Add Template.

     

  3. Click Choose File from the Labor template field.

     

  4. Select the completed labor template from your device.

  5. Select a Template Type from the dropdown.

    1. Service Hours

    2. Non-Service Hours

    3. Bonus Hours

       

  6. Select the Template Granularity from the dropdown. This should match the labor template type this was downloaded and filled out.

     

  7. Enter a Template Name.

  8. Click Validate.

     

  9. Click Next when the template is validated.

     

  10. Check the box next to each Store that will be using the labor template.

    1. Check the box next to Select All Stores to include all locations.

    2. Stores can be added to different labor template types, but cannot be added to the same labor template type more than once.

  11. Click Upload.

     

 

Users will see the Labor Template information after the template is uploaded. Users will be able to view and edit the template and stores assigned to the template that is selected.

Example

 

Edit a Template

Users will need to download and fill out a labor template before editing the template in Decision Logic. Below are the steps on how to edit an uploaded labor template.

Navigate to Maintenance > Labor > Labor Templates

 

  1. Click the Labor Templates tab. This should be the default landing page.

     

  2. Select an Existing Template from your list.

     

  3. Click the Template tab.

  4. Click Template with the pencil icon.

  5. Make the edits by completing the 3-Step process to Validate the changes. Follow the steps 5-8 from the Upload a Template section in this article (above).

  6. Click Update.

  7. Click the Stores tab.

  8. Check or uncheck the box next to the Store(s) that should or should not have the labor template.

  9. Click Save.

     

 

 

Labor Template FAQ

On the template you specify the number of labor-hours you need for the segment. and Labor Scheduler> Daily schedule tells you how many shifts you should schedule for a segment.

 

For Example:

The template says for the 7:00-7:30 segment if there are sales projected between $1 and $500, then schedule one labor-hour.


The forecasted sales for 5/13 are $128, so the daily schedule says you need to schedule 2 of the 30m shifts to equal
= 1 labor-hour.


If the forecasted sales were $750, it would instead tell you to schedule 4 of the 30m shifts

= 2 labor hours (per the specification for 7:00-7:30 and $500-$1000).

 

It is important to note that if you are viewing 30-minute increments and you need 1 hour of labor, it would take two people to fulfill that with 2 shifts on the schedule.
