How can I grant franchisee admins to manage their own users?

This article is for corporate Decision Logic admins who must grant and limit franchisees' ability to manage their end users.

Overview

Franchisee owners and groups may need to manage their end users. DL Admins can allow restrictions for franchisees by adjusting their security and scope for the Profile Maintenance page within the Profile Maintenance page on the Assigned Pages tab for creating profiles and assigning users to profiles. This will prevent concepts with multiple franchisees from being able to view each other’s information.

The Company’s Hierarchy impacts which security and scope should be selected when creating a franchisee “admin” profile. Each concept or brand will likely have a different naming convention for categorizing franchisee groups. For example, a franchisee could be called a “company,” “group,” or “region.”

Please check with your organization on how your concept categorizes franchisees.

Corporate DL Admins must create or edit a designated profile and limit the scope and security of the Profile Maintenance page to limit access. Limiting access to the Profile Maintenance page will prevent those ‘admins’ from gaining access to other franchisees' users.

The first step is to create a profile for the franchisee. Afterward, you will assign the “Profile Maintenance” page to the user with limited security and scope. Lastly, you will assign a user to the new profile. Users will also need to be created. This article will not cover how to create an individual user.

Create a Franchisee Admin Profile

DL admins will begin creating a dedicated franchisee profile by navigating to:

Maintenance > Company > Profile Maintenance

  1. Click the Profiles tab. This should be the default landing page.

  2. Click New Profile.

    1. You can Edit an existing profile if preferred.

  3. Create a Profile Name.

  4. Select the Profile Type associated with the franchisee based on your company’s hierarchy.

    1. Please take extra care in your selection.

    2. For example, “Region” is the label for this franchisee group. However, your company may have it labeled differently.

  5. Click Save.

Assign Profile Maintenance Page

After creating or editing the franchisee profile type, you will assign the Profile Maintenance page to the profile and limit the scope and security for that page.

Begin by navigating to:

Maintenance > Company > Profile Maintenance

  1. Click the Assigned Pages tab.

  2. Select the Profile (franchisee option) from the dropdown.

  3. Check the box for Profile Maintenance to add the page.

  4. Select the Security level.

    1. View - only able to view the page.

    2. Enter - only add user profiles.

    3. Change - make changes to user profiles.

  5. Select the Scope level.

    1. This depends on your company’s hierarchy, and the names available may differ from the image.

    2. Scope will allow the user to view that level of access and below in the hierarchy.

    3. For example, “Region” is the franchisee Profile Type and Scope, allowing franchisees to see their own company, group, and store levels. However, they would not be able to see the entire corporate/company level, preventing them from accessing other franchisee information.

  6. Click Save.

Add User to Franchisee Profile

Admins will add existing users to the franchise profile with restricted security and scope access for the Profile Maintenance page.

Begin by navigating to:

Maintenance > Company > Profile Maintenance

  1. Click the Profiles tab. This should be the default landing page.

  2. Click the Profile associated with the franchisee.

  3. Click Add User.

    1. The user needs to be already created before this step.

  4. Select a User to assign to the profile.

  5. Define their Scope.

  6. Click Save.

When the user logs into Decision Logic’s platform and navigates to the Profile Maintenance page, they can only access the Profiles and Users tabs.
