How do I invite or re-invite employees to join the Employee Central mobile app?

This article shows managers how to invite employees to the Employee Central mobile application.

Overview

Decision Logic’s Employee Central app is designed with all store employees in mind. It does not include operations metrics or functions that only managers have access to. The Employee Central mobile app is available to download in the Apple Store and Google Play.

Access to the Employee Central mobile app is managed from the Employee Roster. The Employee Central mobile app is where staff members can:

  • View their schedule.

  • View the store’s employee schedules.

  • Request time off.

  • Request changes to their availability.

  • Swap shifts.

  • Message teammates.

  • View their activity history.

 

Only employees with an “active” employment status can be invited to join the Employee Central mobile app. Terminated employees can be re-hired and invited to regain access. New employees must be entered in the Employee Roster before an invitation can be sent.

 

There are two ways managers can send an invitation to employees:

  • Email address of the employee. The employee might need to check their Spam folder if they did not receive the invitation link.

  • Text Message to the employee’s mobile device.

 

After an invitation is sent to the employee, they will be prompted to create their account. Only active employees can be invited to join Employee Central. Employee Central invitations expire after 7 days of being invited.

 

Before an employee can create an Employee Central account, a manager must invite them. Managers invite employees to join the mobile app through the Employee Roster. This page is accessed using Decision Logic’s platform from a web browser.

Send Invitation

An employee must be created and active in the Employee Roster before sending an invitation for the Employee Central mobile app. Once a manager is logged in to the web application, navigate to:

 

Operations > Labor Scheduling > Employee Roster

 

  1. Select a Store.

  2. Select Active.

  3. Managers can search for an employee by name, position, POS ID, or phone number. Additionally, managers can scroll through the list of active employees.

  4. Click +Invite to the applicable employee.

  5. Select either Email or Text Message.

    1. Email: Enter the employee’s email address.

    2. Text Message: Enter the employee’s cell phone number.

  6. Click Send.

     

     

 

The employee will receive a link to the destination the manager selected. The link will guide employees on creating their account, downloading the mobile app, and logging in.

 

 

Resend Invitation

Employees who have a Pending status have not yet accepted the invitation for the Employee Central mobile app or created their account. Managers will need to send the invitation if the employee has not created their account within 7 days of receiving the invitation. From the Employee Roster page:

 

Operations > Labor Scheduling > Employee Roster

 

  1. Select a Store.

  2. Select Active.

  3. Managers can search for an employee by name, position, POS ID, or phone number. Additionally, managers can scroll through the list of active employees.

  4. Click the Pending status on the employee who needs their invitation resent.

  5. Select either Email, Text Message, or Copy.

    1. Email: Enter the employee’s email address.

    2. Text Message: Enter the employee’s cell phone number.

    3. Copy: Users can copy the URL link to send to the employee.

  6. Click Resend.

 

 

The employee will receive a link to the destination the manager selected. The link will guide employees on creating their account, downloading the mobile app, and logging in.

 

Mobile Access Status

Below are the mobile access statuses that may appear next to an employee’s name on the Employee Roster.

Invite

The manager has not invited the employee to join the Employee Central mobile app. Until an invitation is sent and accepted, the employee will not have access to the Employee Central mobile app.

 

 

Activated

When an employee has created their account, the Employee Roster page will update to Activated next to the employee’s name. Activated employees can have their email address or cell phone number updated, and become deactivated. When an update is requested, an asterisk will appear next to Activated.

 

 

 

 

Pending

There will be a Pending status next to the employee’s name when an employee is invited to join Employee Central app but has not created their account. After 7 days without acceptance, a manager will need to resend the invitation.

 

 

 

Deactivated

A manager has deactivated an employee's access to the Employee Central mobile app. Deactivation does not terminate an employee. Managers can reactivate an employee’s access to the Employee Central app. Employees that are rehired will default to Deactivated until a manager sends an invitation and the employee accepts and created their account.
