How do I add, enter, and print Prep Sheets?

 

This article shows users how to create daily or interval prep sheets that can be printed.

Overview

The Prep Sheets feature allows users to create daily prep needs based on the inventory measure of those items for their store. The user’s profile needs Change permissions to create and edit prep sheets. Users with View permissions can only view them. Users can select from one of their Prep Sheet Guides created from Prep Sheet Guide Maintenance and determine the prep sheet's duration. Currently, the Duration options are:

  • Daily

  • Two Hours

  • Four Hours

  • Six Hours

  • Twelve Hours

If users choose any option other than daily, they can select when prep needs to be completed. Additionally, Decision Logic uses the most recent six weeks of sales data, excluding outliers by product and day of the week, to populate the Calculated Prep Quantity (Qty) amounts for your selected duration.

The Shelf Life for an item will appear if it has been configured.

Users can view past prep sheet creations and entries but cannot edit them. The information shown depends on the Status of the individual prep sheet.

Each prep sheet will provide a Status, letting the user know how far along that prep sheet is.

  • On-Hand Entry: On-Hand has or has not been entered, but the prep sheet process has begun.

  • Prep: On the Prep Qty page.

  • Complete: Prep Qty is entered, and the user clicks Complete.

Create On-Hands & Prep Sheet

Begin by navigating to:

Operations > Inventory > Prep Sheets

 

  1. Select a Company, Region, Area, or Store.

  2. Select the Date. The default is today’s date.

    1. Users cannot enter prep sheets for past dates. However, you can view past prep sheets by selecting a past date.

  3. Click + New Prep Sheet.

  4. Select a Prep Sheet Guide from the dropdown.

  5. Select a Duration from the dropdown.

    1. Duration options are Daily, Two Hours, Four Hours, Six Hours, and Twelve Hours.

    2. If you select an option other than Daily, please Select the Ready By Time for when the prep sheet should be completed.

    3. When selected Daily, “Need - Build To” amounts will appear on the On-Hands and Prep Sheet pages. These figures are pulled from the Prep Sheet Guide Maintenance page.

  6. Click Create.

  7. Print the On-Hand Sheet and gather the On-Hand Quantity information, then return to the web-based platform.

    1. Click Print On-Hand Sheet to print this page.

  8. Enter the On-Hand Qty amount.

    1. Blanks will be treated as zeros.

  9. Click Continue.

  10. Adjust the Prep Qty that needs to be built, if needed. The Calculated Prep Qty will be copied into these fields.

    1. Decision Logic will provide the Shelf Life, if available, and the Calculated Prep Qty. The Calculated Prep Qty is suggested based on the previous six weeks of sales for that item during the duration selected, excluding outliers.

    2. Need - Build To columns will appear for Daily prep sheets.

    3. Users can click Edit On-Hands to go to the previous page and update their On-Hands. Edits will recalculate the Calculated Prep Qty.

  11. Click Print Prep Sheet to give to the team member(s) completing the prep list.

  12. Select the Print Configuration.

    1. Continuous Print: Fewer pages and does not have a break by location.

    2. Page Break by Location: This is the default option and prints more pages because each location starts a new page.

  13. Click Print.

  14. Click Close or Complete. This action will update the status of that prep sheet.

Print On-Hand or Prep Sheet

Users can print the On-Hand or Prep Sheet during the creation process or after a prep sheet is created. Begin by navigating to:

Operations > Inventory > Prep Sheets

 

  1. Select a Company, Region, Area, or Store.

  2. Select the Date. The default is today’s date.

  3. Click the Prep Sheet hyperlink or Edit within the Actions 3-dot menu.

    1. The Status of the Prep Sheet may require the user to take additional steps to grab the correct page to print.

      1. Prep Status - Users will click Edit On-Hands to bring up the on-hands page.

  4. Click Print On-Hand or Prep Sheet, depending on which page you navigate to.

  5. Select the Print Configuration.

    1. Continuous Print: Fewer pages and does not have a break by location.

    2. Page Break by Location: This is the default option and prints more pages because each location starts a new page.

  6. Click Print.

Edit On-Hands or Prep Qty

Users can edit On-Hands or Prep Quantity amounts for the same. Users cannot edit quantities from past dates for either entry fields.

 

Begin by navigating to:

Operations > Inventory > Prep Sheets

 

  1. Select a Company, Region, Area, or Store.

  2. Select the Date. The default is today’s date.

  3. Click the Prep Sheet hyperlink or Edit within the Actions 3-dot menu.

  4. The Status of the Prep Sheet determines which page users will see when in edit mode:

    1. Click Print On-Hands page:

      1. Update the entries in the On-Hand Qty field and click Close or Continue.

         

    2. Click Print Prep Sheet page:

      1. Update the entries in the Prep Qty field and click Close or Continue.

      2. If you need to update the On-Hands page first, click Edit On-Hands and make the updates.

View or Print Past Prep Sheets

Users can view past prep sheet creations and entries but cannot edit them. The information shown depends on the Status of the individual prep sheet.

Begin by navigating to:

Operations > Inventory > Prep Sheets

 

  1. Select a Company, Region, Area, or Store.

  2. Select the Date. The default is today’s date.

  3. Click the Prep Sheet hyperlink or View within the Actions 3-dot menu.

  4. Click Close to stop viewing and return to the Prep Sheet home page.
