Calendar Management

This article shows users how to create, edit, and export custom calendars. Customizing your brand’s calendars can help operators easily manage time-sensitive or specific tasks such as counting inventory. See below for a more detailed list of calendars available to configure.

Calendar Types

  • Fiscal: Relates to sales reports within Decision Logic.

  • Inventory: Relates to COGS, IVA, and TVA reports. The beginning date of each of these weeks is specified as a day for when you will count inventory.

  • Labor: Used for Labor Scheduler. The labor week will be used to determine weeks on schedules.

  • Payroll: Relates to the period that payroll is run for your restaurant.


Generate Calendars

The Generate Calendars tab is used to create a new calendar. To create a new calendar, follow these steps:

  1. Using the dropdown menu, select a Calendar Structure
    This selection indicates the way that your periods and weeks are separated within the calendar. The options are:
    4-4-5: Creates 2 periods that contain 4 weeks, and the 3rd period will contain 5 weeks. This is repeated until the year is over.
    4-5-4: Creates a period of 4 weeks, a 2nd period with 5 weeks, and a 3rd with 4 weeks. This is repeated until the year is over.
    5-4-4: Creates a period of 5 weeks, then 2 periods containing 4 weeks. This is repeated until the year is over.
    13-4: Creates a calendar that contains 13 periods, all of which contain 4 weeks.
    This is not an exhaustive list because once the calendar is created, it is customizable.

  2. Select a Start Date
    This will be the day that you would like the calendar to start. This date can be in the previous year.

  3. Click the Generate button.
    This will highlight the dates on the calendar with your selections, as well as create a table to the right that displays:
    Periods
    Weeks
    Day of the Week
    Week Begin Date
    Number of Days per Week

 

 


Editing Calendars

After the calendar is generated, you can Edit the calendar as needed.

Calendar names cannot be changed without a Decision Logic developer. Please submit a ticket for this request.

  • Selecting the Period option from the Edit Mode dropdown will allow you to click Start Date of each Period

  • Choosing the Weeks option will allow the same functionality for the weeks within the periods

  • When an edit is made, the table on the right will also update
    This is commonly used when creating an inventory calendar, as sometimes inventory dates do not line up with the beginning of a week
    For example, performing inventory on the first day of a month

  • Can use + buttons on either side of the Edit Mode dropdown menu to add months to the beginning or end of the calendar

  • Weeks must be defined in Edit Mode before defining periods. A user will not be able to configure periods for a blank calendar is weeks are not already defined.

 

Once edits are complete:

  1. Name the calendar

  2. Select a Calendar Type and Calendar Year using these fields to the left of the calendar


Exporting & Importing

When the calendar is configured, it can be exported via the Export button on the page. This will create a file that contains your calendar information.

  • Note: exporting the calendar does not apply a new calendar configuration to any location.

  • To apply the calendar, send the file exported to your Decision Logic Account Manager or the Decision Logic Helpdesk.

 

If you have a calendar file that you would like to view, the import option allows you to upload a .dlcal file to show in the editor.

  • Select the Import button and select the file you would like to view using the file explorer.


Client Calendars

This tab allows the user to view the existing calendars that are used within the platform.

  1. Select the calendar type from the Calendar Type dropdown.
    The Calendar dropdown menu will show all calendars using the type selected for the site.

  2. Select the Calendar that needs to be shown.

  3. Select the Year that you would like to view and press the Load button.
    The calendar selected will appear in a visual format as well as a table loaded to the right.

 


Store Calendars

This tab allows the user to view existing calendars for any particular store.

  1. Select the Store you would like to view using the store selector.
    The stores can be filtered by Company, Regions, and Areas.

  2. Choose the Calendar Type and Year using the dropdown menus.

  3. When the Load button is selected, the calendar selected will appear in a visual format and a table loaded to the right.
